We are looking for a junior administration assistant to join us full-time to start end of October. We currently have 1 senior secretary who is available to train our new assistant in their role. We also have 1 senior paralegal (former senior secretary) who is able to help with training as well. The ideal candidate would be someone who is personable, motivated, able to take the initiative to get tasks done, follows up tasks in a timely manner, friendly and approachable. The role is perfect for a junior who is keen to learn and able to grow into the role to make it their own. A short job description is below.

- Reception duties such as greeting clients, receiving couriers, serving tea & coffee to clients, setting up boardroom for client meetings, internal meeting and training/PowerPoint presentations
- Answering main phone, transferring calls, taking detailed messages including new client and matter enquiries
- Daily mail collection, scanning mail and documents into Leap (our document management system), attending post office to post mail eg express post and registered post, arranging couriers
- Drafting, amending and sending out letters and legal documents
- Registering original documents into safe custody register
- Maintaining client contacts in outlook and maintaining marketing database
- Diary management for 2 partners, organising meetings and client functions, booking travel and hotels for conferences
- Upkeep of CPD register
- Managing weekly Coles order and office supplies eg stationery
- Opening new clients & matters in Leap, creating physical files for new matters, archiving matters once finalised
- Accounting duties include entering disbursements and time entries into Leap, amending time entries, generating, amending and sending out invoices, chasing debtors, arranging payment of invoices, arranging reimbursement for employees, handling petty cash etc
- Some paralegal duties eg calling statutory authorities to organise and chase outstanding property search certificates, collating contracts and lease documents, attendance at LPI to register documents
- Regular coffee catch ups with secretaries/PAs for key clients
- Assisting partners, lawyers and paralegals with other general administration tasks where needed
